Why do I need to provide my lodging information for the VEX Robotics World Championship 2024? 

The REC Foundation has contracts with the City of Dallas that reduce the cost of the rental of the Kay Bailey Hutchison Convention Center based on how many VEX Robotics World Championship attendees stay at hotels while in the city. Dallas requires RECF to report out on this metric in order to obtain this discount, which helps us keep registration prices low.

Do I have to provide my hotel lodging information to create the VEX Robotics World Championship team registration order in RobotEvents?

No. You can create your VEX Robotics World Championship team registration order in RobotEvents without providing hotel information, but you will not be able to complete the order checkout process (i.e. pay for the order) and your registration will remain “locked” until you provide your hotel lodging and an RECF staff member has reviewed the information.

How long does the lodging review process take?

The review process generally takes 2-3 business days, after which you will be notified by email that your registration has been unlocked. You may pay after the receipt of this email. 

Am I still guaranteed a spot at the VEX Robotics World Championship if I have not completed the entire process and my registration is unpaid?

No. Your spot to the VEX Robotics World Championship is not guaranteed until your VEX Worlds team registration RobotEvents order has a paid status. All payments must be made in full by March 31, 2024 at 5:00pm CST.

Do I have to book through RECF’s preferred lodging vendor, Team Travel Source (TTS)?

No. TTS has an extensive block of rooms that are contracted at the best rates on behalf of the RECF at multiple hotels in the area, however you are not required to book through Team Travel Source, unless you are staying at a contracted hotel. 

If you are booking at a contracted hotel, RECF does require that you book through TTS. A complete list of contracted hotels can be found at www.recf.org/vex_worlds/hotel-and-travel/.

What information do I need to provide if I booked with Team Travel Source (TTS)? 

If you have booked your hotel with TTS, you will be asked to provide the email address you used to book your reservation and the Pipe/group ID that you received from TTS as your hotel lodging confirmation during the VEX Robotics World Championship team registration process.

What information do I need to provide if I booked my hotel lodging on my own and outside of the contracted block? 

You will be required to provide the hotel name, complete hotel address, hotel confirmation number, and a PDF of the hotel confirmation. Your VEX Robotics World Championship team registration order will be in a locked status until this information is provided in full and then reviewed/confirmed by an RECF team member.

I have booked my travel now, but I selected that I had not booked my travel yet when I completed my order, what are my next steps?

The RobotEvents account holder that registered the team for the VEX Worlds will need to update the hotel lodging information on your VEX Robotics World Championship team registration order in RobotEvents. 

Login into your account, click on the order number under the my orders section (left hand side), click the order number, enter in hotel lodging details (bottom of order), click update. Once information has been updated, please allow 2-3 business days for an RECF team member to review the information provided and unlock the order, after which the registrant may submit payment.

My team is local to the Dallas area (within 50 miles) and will be driving to the event each day. What should I select for hotel lodging? 

Teams that have an organization address within 50 miles of zip code 75202 will be able to indicate that they are a local team and will not have hotel lodging requirements. No review is required and teams may pay for their registration immediately.

The parents of my team members booked the lodging for their child, so I do not have the hotel lodging information. What should I do?

If parents have booked the hotel lodging for the team, the person completing the VEX Worlds team registration will need to collect lodging information from the parents and submit it through Robotevents.com as a part of the VEX Robotics World Championship team registration process.

I registered for the VEX Robotics World Championship before February 9th. Do I need to provide my lodging information? 

Yes. Hotel lodging information is required for all teams attending the VEX Robotics World Championship. Please log in to RobotEvents and update your team registration order with the appropriate hotel information. 

I have multiple hotel lodging confirmation numbers from booking on my own hotel lodging, how do I submit them? 

In the confirmation number section of the RE order, add all the confirmation numbers separated by commas, combine the hotel lodging confirmations into a single PDF document and upload it into the RE order.
